Business:            Premises & General Services

Position:              Facility Management Specialist

Reporting to:      Line Manager

DUTIES AND RESPONSIBILITIES

Overview

Responsible for the day to day processing requirements of the function.

Performs various structured routine operational tasks in a standard work environment.

Understands the mission and vision of the company and how the department contributes to that.

Works under supervision; receives instruction, guidance and direction from a senior team member.

Acts in line with ING rules and policies

Responsibilities

Your tasks and responsibilities will principally be:

  • Overall execution of day-to-day processing for local Premises & General Services
  • Handle expenditures of regular/irregular payments for related vendors
  • Handle Incoming & Outgoing Documents from various channels as daily basis
  • Operate Pro-watch system for Office Security
  • Responsible for the maintenance of inventory of offsite storage with external vendor
  • Oversee and coordinate vendor service management to ensure service quality, efficiency, and compliance with contractual obligations
  • Handle Corporate Seal and Company Registration with Vault management
  • Role a person in charge of Corporate Credit Cards
  • Responsible for the purchase of canteen items, stationery and its distribution
  • Responsible for office furniture kept and maintenance of inventory
  • Handle Subscription and Parking
  • Managing ‘Bank confirmation’ and ensuring accurate, timely responses
  • Assist in BCP related tasks
  • Assist in all Premises & General Services matters including but not limited to requests from Manager

Job requirements

To be considered for this role, the applicant would ideally possess the following pre-requisites:

  • Minimum of 3 years of relevant work experience
  • Strong communication skills with the ability to collaborate effectively across departments and levels
  • Open-minded, eager to learn, and willing to embrace challenges
  • Demonstrates integrity, is punctual, diligent, and proactive in daily responsibilities
